Project Goals

Employees submit receipts in bulk to claim reimbursement for business expenses such as travel and client meetings. Previously, managers and auditors had to manually review hundreds of scans against multiple validation criteria:

  • Receipt validity (verification via QR code);
  • Vendor credibility and status (via EIN / Tax ID check);
  • Fraud prevention (scanning for duplicate receipts);
  • Spending compliance (verifying per-person spending limits and analyzing receipt line items).

This process was extremely time-consuming for managers and heavily overloaded the accounting department. The client approached us for a smart solution to fully automate the recognition, verification, and approval of all expense-related documents.

Solution

We developed an intelligent tool integrated with the Tax Authority API that conducts deep analysis of receipts based on customizable business rules. Its user-friendly interface allows managers to approve expense reports, review receipt verification history, and monitor user actions through role-based access control (Employee / Manager / Accounting).

We also ensured enterprise-grade security: beyond user permissions, the system allows the admin to regulate file and history retention periods, configure document upload sources, and automatically anonymize confidential personal data.

Product scaling & development potential:

  • Universal Document Analyzer: Adapting the AI system to audit and extract data from any type of document, form, or scan, with integration into any external database.
  • External API: Seamless integration into the client’s existing IT infrastructure (e.g., automatically pulling and auditing documents uploaded to Salesforce, or custom CRMs).
  • Employee Chatbots: Launching a dedicated bot in your team’s preferred messenger (Telegram, Google Chat, Slack, etc.) to allow instant receipt submission directly into your accounting system on the go.
